Preparing a Strong Rental Request

A little preparation before you submit your request makes the confirmation conversation much quicker. School athletic spaces are shared by many teams and programmes, so the more clearly you describe your event, the easier it is to find a slot that works without clashing with practices, home games or school activities.

Details worth including

  • Expected headcount: give a realistic estimate of participants and spectators, since this affects which space is suitable and whether extra supervision is needed.
  • Setup and teardown time: include the time you need before and after the event itself, not just the start and finish of play.
  • Equipment needs: say whether you plan to bring your own goals, nets, timing gear or sound equipment, or are hoping to use what is already on site.
  • Flexible alternatives: listing one or two backup dates or times greatly improves your chances of a match.
  • Age group and organisation: note whether the group is a youth club, adult league, school-affiliated team or community organisation.

Planning around the school calendar

School teams and their seasons generally take priority, and fall, winter and spring each bring heavy demand on fields, courts and the gym. Checking the game schedule before choosing a date helps you avoid times that are already busy. Weather in Portland can also affect outdoor surfaces, especially during the wetter months, so it is sensible to ask how cancellations or rescheduling are handled for outdoor bookings.

Insurance and responsibilities

Many school districts ask outside groups renting facilities to show proof of liability insurance and to agree to rules on supervision, cleanup and permitted activities. Expect to be responsible for leaving the space as you found it and for making sure your participants follow posted guidelines. If you are unsure what your organisation's coverage includes, check with your insurer before the event.

To get a sense of which spaces might suit your event, take a look at our facilities overview, and if you have questions before submitting, reach out through the contact page.
